Three plans, and one of them is probably right for you.

Microsoft names things confusingly. Here's what the three small-business plans actually give you, in plain English.

Business Basic

Business email, Teams and cloud storage, with the Office apps in a browser or on your phone. A good fit when the budget matters and your team mostly works on the web.

Business Standard

Everything in Basic plus the full desktop versions of Word, Excel, PowerPoint and Outlook, along with Teams webinars, Bookings and Clipchamp.

Business Premium

Everything in Standard plus the security tools — Defender for Business, Intune device management and Conditional Access. This is the one I recommend for most small businesses.

Common questions

Which Microsoft 365 plan should a small business pick?+

It comes down to two questions. Do your staff need the full desktop Office apps installed on their computers, or is the browser and mobile version enough? And do you need proper security — device management, threat protection and conditional access? If the answer to the second is yes, and for most businesses it is, Business Premium is the plan. Tell me how your team works and I will give you a straight recommendation.

What is the difference between Microsoft 365 and Office 365?+

Office 365 was the old name for the subscription that gives you the Office apps plus services like Exchange and SharePoint. Microsoft 365 is the broader package that adds device management and security — Intune, Defender and Entra ID — on top. Most of that extra security sits in the Business Premium plan.

Can different people in my business have different plans?+

Yes, and it is usually the sensible thing to do. Office staff might sit on Premium for the full security tooling while someone part-time or seasonal sits on Basic. I will help you work out the split so you are not paying for licences nobody uses.

Does Microsoft 365 back up my data?+

No, and this is the single biggest misunderstanding I come across. Microsoft keeps the service running and holds deleted items for a short window, but it does not back your data up. Can you move my existing email and files across?+

Yes. Whether you are coming from another provider, an old on-premises server or a self-managed tenant, I will plan the move, migrate mailboxes and files, and do the cutover at a time that causes the least disruption. You keep your address and your history.
